Rental Policies & Agreement
Davis Main Event Rentals LLC
By placing an order, paying a deposit, or accepting delivery of rental items, you agree to the following rental policies and terms.
Payment & Reservation Policy
Reservation Retainer
- A non-refundable retainer of 25% is required to reserve rental items and secure your event date.
- Reservations are not guaranteed until the required retainer has been received.
Final Payment
- Remaining balances are due no later than 7 days before the event date, unless otherwise agreed upon in writing.
- Failure to make final payment may result in cancellation of your reservation.
Accepted Payment Methods
- Credit/Debit Cards
- Cash
- Zelle
- Cash App
- Other approved electronic payment methods
Delivery Policy
Delivery Areas
- Delivery within 15 miles is included.
- Deliveries between 16–30 miles incur a $75 delivery fee.
- Deliveries beyond 30 miles require a custom quote.
Standard Delivery Includes
- Delivery of rental items
- Basic placement/drop-off
- Scheduled pickup
Additional Delivery Charges May Apply For:
- Stairs
- Elevators
- Long walking distances
- Difficult terrain
- Rooftop venues
- Restricted loading access
- Specific timed deliveries
- Late-night pickups
- Multiple setup locations
Clients must disclose any site access limitations prior to delivery.
Setup & Breakdown Policy
Basic setup is not included unless specifically listed on your invoice.
Additional setup and breakdown fees may apply for:
- Chair placement
- Table arrangement
- Lounge furniture styling
- Tent installation
- Detailed event layouts
- Specialty installations
Tent & Inflatable Installations
All tents and inflatable structures include standard setup and breakdown by Davis Main Event Rentals LLC.
For safety reasons, clients may not install, move, or dismantle tents or inflatable structures.
Overnight Rental Policy
For evening events, next-day pickup may be available at the discretion of Davis Main Event Rentals LLC.
Clients remain fully responsible for all rental items until they have been retrieved by our team.
Overnight rental items must:
- Remain secured
- Be protected from weather
- Be inaccessible to unauthorized individuals
- Remain in their original setup location unless approved otherwise
Lounge furniture and specialty furnishings must remain in covered or protected areas overnight.
Damage, Loss & Cleaning Policy
Clients assume full responsibility for all rental items during the rental period.
Clients agree to pay repair or replacement costs for items that are:
- Damaged
- Broken
- Burned
- Torn
- Stained
- Missing
- Destroyed
Cleaning
Normal cleaning is included.
Additional cleaning fees may apply for excessive:
- Mud
- Food buildup
- Wax
- Glitter
- Smoke odor
- Confetti
- Beverage stains
- Paint
- Pet hair
Furniture Care
The following are prohibited on lounge furniture:
- Standing or jumping
- Smoking
- Sharp objects
- Open flames
- Glitter
- Body paint
- Food or beverages without approval
Weather Policy
Tent & Inflatable Rentals
Davis Main Event Rentals LLC reserves the right to delay, cancel, or refuse installation during unsafe weather conditions, including:
- High winds
- Lightning
- Severe storms
- Flooding
- Unsafe ground conditions
Client Responsibility
After installation is completed, clients are responsible for monitoring weather conditions.
Davis Main Event Rentals LLC is not responsible for weather-related damages that occur after setup has been completed.
Inflatable Rain Policy
Inflatable rentals may be rescheduled due to unsafe weather conditions.
Weather-related cancellations may receive:
- A rescheduled date
- Rental credit toward a future event
Refunds are not guaranteed for weather-related cancellations.
Tent & Inflatable Policies
Surface Requirements
Clients must disclose the installation surface before delivery.
Examples include:
- Grass
- Concrete
- Asphalt
- Gravel
- Turf
Underground Hazards
Clients are responsible for identifying:
- Sprinkler systems
- Utility lines
- Septic systems
- Underground wiring
Davis Main Event Rentals LLC is not responsible for damages resulting from undisclosed underground hazards.
Inflatable Requirements
Clients must provide:
- Adequate electrical access
- Adult supervision at all times
- Safe operating conditions
The following are prohibited inside inflatables:
- Shoes
- Sharp objects
- Food
- Drinks
- Silly string
- Smoking
- Face paint
- Pets
Chair, Table & Linen Policy
Chair cushions, seat covers, and specialty options are subject to availability.
Certain specialty cushions, seat covers, and premium chair options may incur additional fees.
Clients are responsible for ensuring tables and chairs are free from:
- Excessive food waste
- Gum
- Tape residue
- Candle wax
- Paint
- Permanent marker
Rental Period
- Standard rentals are for a single-day event unless otherwise specified.
- Multi-day rentals may incur additional charges.
- Rental items may not be transferred, subleased, or relocated without written approval from Davis Main Event Rentals LLC.
Cancellation Policy
Client Cancellations
- All retainers and deposits are non-refundable.
- Cancellations made within 14 days of the event may result in partial forfeiture of payments made.
- Cancellations made within 7 days of the event may be non-refundable.
Company Cancellations
Davis Main Event Rentals LLC reserves the right to cancel or refuse service if:
- Conditions are unsafe
- Payments have not been received
- Contract terms are violated
- Site conditions are hazardous
Liability Waiver
Clients assume all risks associated with the use of rented equipment.
Davis Main Event Rentals LLC shall not be liable for:
- Injuries
- Property damage
- Accidents
- Weather-related interruptions
- Misuse of rental equipment
- Electrical issues at the event location
Clients agree to indemnify and hold harmless Davis Main Event Rentals LLC from claims arising from the use of rented equipment.
Photo & Marketing Release
Unless otherwise requested in writing, Davis Main Event Rentals LLC may photograph rental setups for marketing, advertising, and promotional purposes.
No personal guest information will be shared.
Client Acknowledgement
By submitting payment and/or accepting delivery of rental items, you acknowledge that you have read, understood, and agreed to all policies and terms outlined in this Rental Agreement.
